Privacy Statement

Who is responsible for your data?

Your personal data is processed by Insurance Europe, in cooperation with the European Youth Parliament, for the purpose of organising the NextGen Video Competition. In this privacy policy, we clarify how we collect, use, protect and otherwise process your personal data. The controllers of your personal data are the following legal entities:

We make every effort to protect the personal data entrusted to us and to process them in a correct and transparent manner, in particular in accordance with the applicable law, especially the General Data Protection Regulation 2016/679 of 27 April 2016 (“GDPR”) and the Belgian legislation regarding data protection, and any other applicable national act or regulation regarding the processing of personal data or the protection of privacy.

What data do we collect?

We collect and process the following categories of personal data:

  • Identification data (name, age, date of birth, place of residence)
  • Contact details (email address, country of residence)
  • Information linked to your participation (video submission, description of the video, correspondence with you)
  • Information based on your ID (only applicable to finalists), such as nationality, gender, place of birth
  • If applicable, image and voice data contained in your video


Why do we collect your data?

Your data is used for the following purposes:

  • manage your participation in the competition
  • communicate with you about your video submission
  • organise the selection process and award ceremony


On what legal bases do we process your data?

We always process your personal data within the boundaries of the legal bases laid down under applicable law. We also ensure to limit the processing of your personal data to what is strictly necessary for the achievement and performance of these purposes.

Your data is processed on the following legal bases under the GDPR:

  • your consent (Article 6(1)(a)) for the processing of your submission and for publishing your video if selected.
  • legitimate interest of the organisers (Article 6(1)(f)) to run the competition. We ensure that such interests do not override your rights and freedoms.


You may withdraw your consent at any time by contacting [email protected] and [email protected]. Withdrawal does not affect the lawfulness of prior processing.

How do we obtain your personal data?

We may obtain your personal data directly from you, for instance when you contact us, participate in the NextGen Video Competition, or submit a video.

Who can access your data?

Only Insurance Europe and European Youth Parliament staff involved in the competition will have access to your data. Your data will not be sold or shared for commercial purposes.


International data transfers

To achieve the objective of our processing as described above, we may transfer your personal data outside the European Economic Area (EEA). We transfer your personal data only to third parties outside the EEA when that country provides an adequate level of protection according to an adequacy decision issued by the European Commission or when the third party has agreed to provide appropriate safeguards that ensure your personal data is protected (within the limits permitted by the GDPR, e.g. by means of Standard Contractual Clauses). You can ask for more information and/or obtain a copy of those safeguards by sending us an e-mail ([email protected]).

How long do we keep your data?

Your personal data will be kept only as long as necessary for the performance of the purposes for which the data is processed (please see Terms of use below).

Administrative and organisational data will be deleted within 12 months after the competition ends. Submitted videos may be actively used for communication and educational purposes for up to 10 years after the end of the competition. Thereafter, the videos may be securely stored by Insurance Europe and/or the European Youth Parliament for archival and record keeping purposes, unless the participant requests otherwise.

Depending on the specific situation, we may retain your personal data for longer periods. This will in particular be the case if any of the following periods is longer: (i) as long as necessary for the relevant activity or service; (ii) any retention period required by law; or (iii) the limitation period within which legal proceedings may be initiated.

How do we protect your personal data?

We employ strict technical and organisational (security) measures to protect and safeguard your personal data from access by unauthorised persons and against unlawful processing, misuse, accidental loss, destruction, damage and any other unlawful forms of processing of the personal data in our possession, both online and offline.

These measures include, among others:

  • training relevant staff to ensure they are aware of our privacy obligations when handling personal data
  • administrative and technical controls to restrict access to personal data to Insurance Europe staff members
  • technological security measures, including fire walls, encryption and anti-virus software;
  • back-up systems
  • login access blocks in case of loss or theft of devices
  • physical security measures, such as staff security badges to access our premises


Although we use appropriate security measures as soon as we receive your personal data, the transmission of data via the internet (including by email) is never completely secure. We do our utmost to protect your personal data, but we can never fully guarantee the security of data sent to us or by us. We limit access to your personal data to those who reasonably need to come into contact with that information to perform their duties.

What are your rights rights?

You have several rights concerning the personal data we hold about you. You have the right to:

  • Access your personal data

  • Request correction of inaccurate or incomplete data
  • Request deletion of your data
  • Restrict our processing of your personal data where you believe that the data is not accurate or we may not have grounds for processing it
  • Ask to receive a copy of the personal data concerning you
  • Withdraw your consent at any time (insofar the processing is based on your consent)
  • Receive your personal data in a structured, commonly used and machine-readable format and to transmit it to another party (insofar the processing is based on consent or the performance of a contract)
  • Object to the processing of your personal data for which we rely on legitimate interests as a legal basis, in which case we will cease the processing unless we have compelling legitimate grounds for the processing

If you are unhappy with the way we have handled your personal data or any privacy query or request that you have raised with us, you have a right to complain to the Data Protection Authority (“DPA”) in your jurisdiction.

Are your personal data used for automated decision-making?

Automated decisions are defined as decisions about individuals that are based solely on the automated processing of personal data and that produce legal effects that significantly affect the individuals involved.

As a rule, your personal data will not be used for automated decision-making. We do not base any decisions about you solely on automated processing of your personal data.

Terms of Use

By submitting a video to the NextGen Video Competition, participants agree to the following terms:

1. Eligibility criteria

The competition is open to individuals aged 18–35. Participants may enter individually or as part of a group. Only one entry per individual or group is allowed.

2. Original content

Participants confirm that their video is original, created by them, and does not infringe any third party rights. Stock footage, AI generated material, third party logos, or copyrighted material without licence are not permitted. Participants remain fully responsible for the content they submit.

3. Rights and permissions

Participants confirm that all individuals appearing in the video are 18 years or older and have provided written consent to appear. Participants must hold the necessary rights for any music or other material used.

4. Use of submitted videos

By submitting a video, participants grant Insurance Europe and the European Youth Parliament a non exclusive, royalty free licence to use the submitted video.

This licence allows Insurance Europe and European Youth Parliament to:

  • Publish, display and share the video on their websites, social media channels, and newsletters within the context of the video competition.
  • Use the video at the Insurance Europe International Conference, taking place on 28th May 2026 in Brussels.

Should you expressed otherwise, this use may not limited to the duration of the competition and may continue after the competition ends, in the context of communication and education activities related to insurance, financial literacy or youth engagement.

Participants keep full ownership of their video and are free to use it elsewhere at any time.

5. Duration

Submitted videos may be:

  • actively used for communication and educational purposes for up to 10 years after the end of the competition;
  • stored securely by Insurance Europe and/or EYP for archival and record keeping purposes beyond that period.
  • Participants may request that their video no longer be actively used in future communications by contacting the organisers.

6. Withdrawal

Participants may withdraw their submission before the submission deadline by contacting the organisers.

7. Liability

The organisers reserve the right to exclude submissions that do not comply with these Terms.

To the maximum extent permitted by applicable law, the organisers shall not be liable, whether directly or indirectly, for any content, including videos or information, submitted, shared or otherwise provided by participants. This includes, without limitation, any claims, damages or losses arising from the use, publication or reliance on such content or information. Participants remain solely responsible for the content and information they submit.

8. Governing law and court of competent jurisdiction

The Terms of Use shall be governed by Belgian law. Any dispute arising out the Terms of Use or this website shall be submitted to the exclusive jurisdiction of the Brussels Court of First Instance.
